To: All State
Agencies, Boards and Commissions
From: State Treasurer
Shane Osborn
This is a
reminder that all agencies need to order deposit tickets through the State Treasurer’s
Office. Agencies also need to make Treasury Staff aware of any changes on the
required information sheet, such as changes in addresses, business units, phone
numbers, contacts, ect. We would like state agencies to submit their
information in advance so that Treasury Staff can get the NIS
location codes assigned and have the agency information on file for when they
need to order. By utilizing a centralized vendor, the cost of deposit tickets
has been reduced approximately 20-50% depending on the quantity of tickets
ordered.
Details from previous email dated February 13, 2006
Each state agency location depositing directly to a State
Treasury bank account will be assigned a specific individual three digit bank
location code that will be used at bank to track agency deposits and in NIS
to help with the NIS to bank reconciliation
process. These codes should not be
shared among locations or agencies. The
three digit bank location code will be assigned by agency location and the
State Treasury bank account your agency state funds are being deposited
at. Agency staff that deposit directly to
a State Treasury bank account will now be required to enter this three digit
bank location code when preparing the State Treasurer NIS Deposit
Document. Agency personnel will enter
the three digit bank location code in the location code field on the Standard
Deposit Entry screen in NIS. A visual assist is available in the location
code field to assist agency personnel in matching the correct location code to
the number on your deposit tickets you should have available as you enter the
information in NIS and create your State Treasurer NIS Deposit Document. If you currently have a bank location code
printed on your current deposit tickets, please begin entering that information
into NIS as you prepare your next
State Treasurer NIS Deposit Document.
If you do not have a location code assigned, one will be
assigned by Treasury Management Staff. This
location code will be given to the NIS team to update the
visual assist in the location code field in the Standard Deposit Entry screen
in NIS. As you re-order deposit tickets, this
location code will be printed on your new deposit tickets.
Below is a sample deposit ticket that has the fields labeled
to serve as a reference tool. Please use
the information off your agency deposit tickets when you visit with our staff
or when entering information into NIS.
