In this lesson you will learn how to enter a capital outlay and related expenditure.
A capital outlay journal entry is created when the object portion of the Account Number is 58XX00 (where XX = Item Code).
Steps:
Click the State of Nebraska link.
Step 1Click the Accounting link.
Step 2Click the Manage Journal Entry link.
Step 3Click the Enter Manual Journal Entries link.
Step 4Click the Journal Entries with Debit/Credit Format link.
Step 5Click the Add button.
Step 6Click in the G/L Date field.
Step 7Enter the date of the entry into the G/L Date field or leave blank to default to today's date. Enter "12/15/09".
Note: The G/L Date must be a date in the period this document will post. If your agency's processing cycle (prepare – approve – post) takes 3 days, then 3 days before the end of the month, begin using the next month's date.
Step 8Press [Tab].
Step 9Enter an explanation in the Explanation field. Enter "TRAINING ENTRY".
Step 10Click in the Account Number field.
Step 11Enter the account number into the Account Number field. Enter "33000121.865100".
Step 12Press [Tab].
Step 13Enter the debit or credit dollar amount, as needed in the Debit Amount or Credit Amount field.
Warning: Do not enter debit and credit amounts on the same line.
Enter "100" into the Debit Amount field.
Step 14Scroll to the right to the Tag Number field.
Click the scroll bar to scroll to the right.
Step 15Click in the Tag Number field.
Step 16Enter tag number into the Tag Number field. Use the visual assist tool if necessary.
Enter "33A17379".
Step 17Complete additional lines as necessary.
Click the scroll bar to scroll back to the left.
Step 18Click in the Account Number field for the next row.
Step 19Enter "65025009.865100"n into the Account Number field.
Step 20Press [Tab].
Step 21Press [Tab].
Step 22Enter "100" into the Credit Amount field.
Step 23Click the scroll bar to scroll to the right.
Step 24Click in the Tag Number field.
Step 25Enter "33A17379" into the Tag Number field.
Step 26Press the down arrow on your key board.
Step 27When you are finished click the OK button.
Note: Make sure the Remaining Amount field is blank.
Step 28Write down the Previous Document Number and Batch Number for approval and posting.
Step 29Enter additional documents if needed by repeating the previous steps.
When finished click the Cancel button.
Step 30Click the Close button.
